Well-performing editors are key to the success of your news website, but managing a large editorial team can be challenging. To help streamline this process, we’ve introduced the Automated Reports feature. This feature provides your editors with valuable insights into their performance, delivered in a structured and consistent manner via automated emails. These reports not only offer editors a detailed look at their top-performing articles, but also allow you to provide tips and feedback to keep your team motivated.
Why Use Automated Reports?
The automated reports provide two significant benefits:
Enhanced Performance Insights: Editors receive regular reports on their article performance, allowing them to see which of their articles performed the best in terms of views and engagement (e.g., comments). This helps motivate them and encourages continuous improvement.
Structured Feedback: You can include tips, tricks, and feedback in each report, allowing you to manage your team efficiently without having to send individual emails.
How to Configure Automated Reports
To start sending performance reports, follow these steps:
1. Activate the Automated Reports Feature
At the top of the report settings page, you'll find the toggle to enable or disable this feature. Simply switch it on to activate.
2. Email Contents
You can fully customize the contents of the report emails sent to editors:
Email Subject: Specify the subject line that will appear in the editor's inbox. For example, "Monthly Performance Report for [Editor Name]."
Intro Message: Add a personalized introduction, which could include praise for their work or areas for improvement. You can also insert dynamic placeholders like <author> to automatically include the editor’s name.
Body Content: The body of the report email functions similarly to the article editor, allowing you to add text, images, and links. By default, the top 5 performing articles (based on views, comments, and publish date) will be automatically included in the report.
3. Send Mode
You can configure how frequently the reports should be sent:
Daily
Weekly
Monthly
The reports are scheduled to be sent at 23:55 on the selected day(s), this time can not be changed.
4. Recipients
Choose whether to:
Send to all editors, or
Send only to editors who have published articles since the last report (active editors).
This helps ensure that only the most relevant editors receive the reports, especially if you have a large editorial team.
5. Preview the Email
Before scheduling the email, you can preview how it will look by selecting an editor and clicking on Preview Email. This allows you to verify the contents and layout of the report before it’s sent out to the entire team.
6. Save and Schedule
Once everything is set up, click on Save and Schedule. The report will now be sent according to the selected frequency (daily, weekly, or monthly).
Example Use Case
Let’s say you want to motivate your team by sharing their best-performing articles on a monthly basis. You can set the Send Mode to "Monthly" and configure the reports to be sent only to editors who have published articles in the past month. Each editor will receive a custom email detailing their top 5 articles, along with any tips or feedback you want to provide to the team and have added to the email. The email might include:
Top 5 articles based on views
Number of comments and engagement per article
Suggestions for improving performance
